1. Introduction

At PTIFamily, we value "Radical Transparency." This notice explains how we collect, use, and protect your personal data. We are an unincorporated charitable association and, for the purposes of data protection law, the "Architects" (Trustees) act as the Data Controllers.

2. The Data We Collect

To keep the family connected and agile, we collect:

  • Identity Data: Name, former rank/service number (for verification), and branch.
  • Contact Data: Email address, phone number, and postal address.
  • Profile Data: Course photos, "Kit-Box" memories you share, and your current industry/job title for the "Side-Step" mentoring program.
  • Financial Data: If you provide an "Annual Commitment" or donation, payments are processed via third-party platforms (e.g., GoFundMe/Stripe). We do not store your full credit card details.

3. How We Use Your Data (The Legal Basis)

We only use your data when the law allows us to. Usually, this falls under:

  • Legitimate Interest: To manage your membership, send you "The Pulse" updates, and facilitate the "Virtual Crewroom."
  • Consent: When you explicitly opt-in to the Mentor Match or specific welfare outreach.
  • Legal Obligation: If we are required to keep records for HMRC or Gift Aid.

4. Sharing Your Data

We don’t sell data. We only share information with:

  • Vetted Partners: Such as JobOppO (for career support) or specific veteran agencies (for welfare), and only when you have asked us to connect you.
  • Service Providers: Digital platforms that host our website, email newsletters, or secure member maps.

5. Data Security

We move away from "red tape," but we don't skip on security. Your data is stored on secure, password-protected digital hubs. Access is restricted to the Architects and specific "Advocates" who need the information to perform their roles (e.g., the Connector).

6. How Long We Keep It

We keep your data for as long as you are a member of the PTIFamily. If you choose to "check out" and leave the association, we will delete your personal records within [6/12] months, unless we are legally required to keep them.

7. Your Rights

Under GDPR, you have the right to:

  • Access: Ask for a copy of the data we hold on you.
  • Correction: Ask us to fix a mistake.
  • Erasure: Ask us to delete your data (The "Right to be Forgotten").
  • Withdraw Consent: At any time, by hitting 'unsubscribe' or emailing the Connector.
